Look What's New! — Office of the Ombudsman Updates to gartner.com

We are excited to announce a new look and feel for the gartner.com Office of the Ombudsman site. These enhancements directly reflect our desire to provide a user-friendly experience with timely, relevant content.

We have made specific updates to the following areas:

The Ombudsman Blog will now provide (at least) weekly posts by Nancy Erskine, GVP. Nancy will share her views on the issues addressed regularly by the Office of the Ombudsman.

The Guiding Principles now include updated content and are categorized by sections including Brand Protection, Vendor Issues and Consulting.

The site now provides content in a streamlined format, with frequent updates and actionable information shared via the Blog.

Gartner Copyright and Quote Policy Updated!

You Spoke, We Listened
An updated Copyright and Quote policy makes it easier for clients to quote Gartner when time is of the essence and the audience is limited

AR leaders tell us our rules for granting permission to quote Gartner research are often too restrictive. For example, in many cases, your desire and need to quote Gartner opinion has a specific audience and limited window of opportunity – where speed is everything. We have updated the Copyright and Quote Policy so it�s easier for clients to include Gartner opinion, findings and statistics in some of their own deliverables. Most notably, in documents we have defined as "limited access" (that is, distributed to a defined and very limited audience), clients will no longer need to seek formal permission to quote Gartner as long as they comply with the Policy.

The policy update includes five "limited access" scenarios where clients will not need to seek permission to quote Gartner published content:
  • Equity research reports that are distributed to the client�s subscribers
  • Reports created as deliverables in a custom consulting engagement
  • Road show presentations for securities offerings (given that the client has already obtained approval to use Gartner research in the associated prospectus or offering memo)
  • Confidential Investment Banking Pitch Books used to market investment/financing opportunities
  • Proposals tailored to a specific prospect or client, which may appear in document or presentation format

To be clear, except for "limited access" documents, Gartner continues to require approval for external use of the Gartner name and research in contexts including (but not limited to):
  • Press or media communications or announcements
  • Advertisements
  • Public filings, including securities filings
  • Web site content (except password protected sites accessible only to subscribers, clients or prospects)
  • Material promoting Gartner analyst participation at events

New Magic Quadrant Format

"Gartner aims to create research that is highly effective and helpful to our clients. In response to requests from clients to provide more succinct and direct information about the companies positioned in the Magic Quadrant reports, Gartner recently implemented a new format. In the past, the company commentary took a free form that included a general overview of each company and/or how its products placed. The new format includes a more structured evaluation of each company that appears in the quadrant. The new Magic Quadrant analysis of the companies will include specific bullet points around "Strengths" and "Cautions." At minimum, one bullet point will appear under "Strengths" and one bullet point will appear under "Cautions" for each company positioned in the report. Gartner feels this will make it easier and clearer to understand the reasoning behind the specific quadrant placement for each company the analysts evaluated. Please note the methodology around Magic Quadrant evaluation remains the same"

Please join me for an Analyst Relations call where we�ll share with you details about a new effort that Gartner has underway for high tech and telecom companies. Joining me will be Ken Davis, Senior Vice President, Gartner, who is heading up this effort. Gene Hall, Gartner�s CEO, will present to Analyst Relations professionals on Tuesday, 10 October from 2:00 p.m. to 3:00 p.m. in the Lark 1 & 2 Rooms in the Swan Hotel. You�re no doubt familiar with Gartner's Hype Cycles. This year�s 2006 Hype Cycle Special Report is now available on gartner.com. We know you�re on the front line for questions about any changes to Gartner�s methodologies and evaluation frameworks, so you should know that this year we have added a "Priority Matrix" to our Hype Cycles. A Priority Matrix is a graphic that assesses technologies� potential benefits within organizations. It�s a tool to help technology planners prioritize emerging technologies, focus beyond the hype, and assess the relative merit and impact of technology opportunities on the enterprise.

You may start to get questions on the Priority Matrix as your executives and customers start seeing them in these reports. If you have specific questions about the Priority Matrix, please contact Gartner Research Methodology: methodologies@gartner.com.

During our initial communication with vendors we received requests for further details of the organization structure. This information, combined with the analyst coverage map on gartner.com, completes the linkages between analysts, their areas of research, and their reporting manager.

New Simplified Copyright and Quote Policy!

Findings Notes: Research that's hot from the oven

A message from Jenni Lehman - Vice President, Research Methodologies

Gartner analysts have begun releasing research using a new format of research note called "Findings". Findings join the standard note types and the newer research delivery vehicles such as podcasts and blogs broadening the ways that Gartner research can be absorbed and enjoyed.

What is a Findings Note?
Findings are short, straight to the point summaries of the topics and insights generated from Gartner research meetings and client interactions. They provide a fast track for analysts to comment on hot issues, new trends, and interesting data points. These notes extend the value of Gartner research by offering perspectives early in the research cycle and by sharing 'top of mind' thinking from our research communities. Findings compliment Gartner's comprehensive research deliverables and in-depth analysis.

Specifically, the goals of Findings are to:

  • Provide value by publishing research topics earlier in the research process
  • Increase research relevancy by responding to topics quickly
  • Draw clients into Gartner research as it is being developed - an extension of our collaborative environment
  • Deliver breaking research with more "immediacy" and impact
Please note that the Guidelines for Vendor Review Cycles has been updated to reflect this new research note format.

Updated Vendor-Paid-and-Sponsored Events at Gartner Conferences

Gartner's brand differentiation and therefore our business are based on our research integrity. Even the appearance of compromised integrity is unacceptable. For this reason, during Gartner conferences our analysts are not allowed to participate in special events, paid for by vendors, where attendees are solely Gartner and vendor associates. This policy ensures that our analysts are available to all conference attendees.

Update: If you would like Gartner analysts to participate in any vendor-sponsored event at a Gartner conference, please send an email to ombudsman@gartner.com or call us at +1 203 316 3334 with the following information:

Names of Gartner analysts you would like to invite; Number of end users you would like to invite (remember, end-user invitations are required); and Venue of event. Our general guideline here is that venues optimized to conduct business-oriented discussions are OK; "social" venues (for example, theatre, sporting events) are not. Just as with vendor surveys, our analysts will accept these invitations only when they receive approval from the Ombudsman.

This policy hasn't been modified to make it more difficult to get to our analysts; it's been changed because a number of vendors have scheduled some very "social" venues for these gatherings, where the risk of the appearance of compromised integrity is so great that we believe we need to review all requests.

Pilot Approved Quote Sheet Template

In response to requests to help with rush requests to quote Gartner research, Vendor Relations has introduced a new pilot approval process. This process aims to provide approval for an agreed number of quotes ahead of time, for use in specific contexts for a set time period. It's easy. All you need to do is complete the Pilot Approved Quote Sheet Template and submit your request to vendor.relations@gartner.com. This process will be in place as a pilot for three months. Then, based on feedback and compliance, we will consider introduction permanently.

Important New Process for Requesting Analysts to Take Surveys

Vendors regularly send Gartner analysts requests to complete analyst relations-related surveys. Though the length of these surveys is nominal, the number of requests and the scope of the questions have become problematic. To ensure adequate responsiveness to requests and to minimize the impact on Gartner analysts, we have implemented the following procedure:

  1. If you wish to survey Gartner analysts, please send the request directly to vendor.relations@gartner.com. You must include the entire list of Gartner analysts whom you wish to complete the survey, and the complete list of questions - a URL will suffice. We also need to know how frequently you expect to do this survey, and how you will use the information.

  2. Once we receive the information, we will review it and if approved, we will send a note to the specified analysts authorizing them to respond to the survey at their convenience and discretion. Note: It is ultimately up to the analysts to decide if they want to participate, but they will not participate if we do not authorize it.

  3. Once approved, you may correspond with the analysts directly to complete the survey.
As a best practice, and to maximize approvals, please try to limit your survey length to no more than 15 minutes, and keep your survey content to questions related to the analyst's relationship or perceptions of your company or analyst relations function. If you are a client, Inquiry is the best place to ask broad questions about the marketplace and competitors.

If you send survey requests to the analysts directly, survey completion is subject to severe delays and spotty participation since the analysts will be checking with us first. We will help ensure that you get quick turnaround and more complete participation. We expect to be able to approve most survey requests within 48 hours of receipt.

Analyst Relations teleconference

On a recent series of client visits in the Bay Area, I got some fantastic feedback from vendor clients, which I'm now working through diligently. A request that came up a number of times was to get a glimpse into Gartner's vendor product strategy. The good news is that there is a lot to talk about. Robin Kranich has agreed to participate in an Analyst Relations teleconference to describe what we have cooking and to answer your specific questions. Here are a few of the areas that she will touch on:

  • How Gartner is organizing our product and content organizations to address the Business of Research and the Research Business
  • Gartner's market-based approach to product management and implications to the vendor marketplace
  • Gartner's commitment to the Dataquest line of business and our plans to invest in it
  • Steps Gartner has taken and will take toward transparency to our clients
  • Gartner's plans to bring together the recent end-user-focused Industry Advisory Services with the Dataquest industry offering

Please submit your questions for Robin by 9 September to ombudsman@gartner.com. You guys never disappoint with your insightful questions, and I'm sure this call will be no exception. I look forward to the interaction.

One other note: We will conduct focus groups specifically for vendors at this year's Fall Symposia in Orlando, Cannes and Sydney. These focus groups will seek vendors' opinions on various issues of objectivity, as well as Research methodology and architecture. How to be added to the Analyst Relations call invitation list

We have recently been asked by a number of vendors how they can get on the invitation list for our quarterly Analyst Relations calls. There is no "special" invitation list. All you have to do is send an email with your name, email address, company name and phone number to ombudsman@gartner.com, and you'll receive the next invitation. You don't have to be a client (or even a vendor).

And you may have noticed that we're starting to schedule these calls more often. What will precipitate the scheduling of these off-quarter calls? Events that occur at Gartner, such as product announcements or major policy changes, that will likely result in questions for Analyst Relations people. We want to inform you so you can be prepared to answer those questions quickly and accurately. As always, please let us know your ideas for Quarterly Call topics. We won't know what is on your mind unless you tell us.
