Strategic Sourcing

The platform will be configured to match your sourcing organization, processes and strategy, in order for your organization to apply the best practices in Strategic Sourcing.

First of all, FULLSTEP will be the repository for your purchasing categories and item part master. The logical hierarchy defined during the sourcing analysis phase will be reproduced, and the material database loaded into the platform. The second pillar for the configuration of your sourcing platform and efficient sourcing management is the sourcing organization. Your organization structure will be loaded in the platform, and users assigned to their respective departments and roles. Users will be assigned security profiles to match their role in the sourcing organization, and their access restricted to categories/activities under their responsibility.

Using those two pillars, several tools of the FULLSTEP platform will help you perform an efficient category management. Every user's home page is a viewer of currently open processes, with applicable restriction based on department, role, business unit, etc…

In terms of specific application for the buyers, FULLSTEP is a highly configurable tool for electronic RFx. Buyers are able to configure RFx for several categories, organizing the bid in several groups of materials or services, able to add specifications of all types (text, attached files, etc…) and distributing bid invitations among potential suppliers based on the categories they are able to supply, location, etc…

In order for sourcing organization to execute ambitious and efficient negotiation strategies, FULLSTEP features best in class e-auction functionality, as well as online Purchasing Committee management, allowing the different stakeholders to efficiently analyze available options and arrive at decisions supported by.

The Purchasing Committee is an online meeting held in the sourcing application: its advantage is the control of RFx planning and execution, with administrators able to add/delete RFx from the schedule, automatic generation of a meeting agenda adapted to the company's templates, and automatic generation of meeting minutes, with a summary of all decisions made in the meeting. It is a powerful tool to ensure company's policy compliance and efficiency in the management of sourcing processes.

At any moment in the course of an RFx, the buyer has the option to convert the bid into a reverse auction, which comes with the newest features and technology. In line with our constant innovation strategy, we recently introduced game-changing features to our reverse auction functionality.

The latest functionalities bring more flexibility and simplicity to our e-auctions, in terms of configuration and management of the auction, real time monitoring and awarding. Thanks to the new configuration wizard and monitoring panel, you'll be able to organize and manage an auction in only a few minutes – the highly- intuitive commands allow you to design a process that fits your way of doing business.

Procure-to-Pay

The FULLSTEP Platform is also configurable to handle the full Procure-to-Pay process, with modules to handle purchasing requisitions and purchase order electronic approval, a web-based electronic catalog functionality, and most of all, the capability to integrate with your company's ERP system. All the transactions handled in FULLSTEP will be integrated with your ERP system to ensure data integrity, avoid double data entry, and make sure the benefits obtained thanks to the strategic sourcing solution will be fully executed, all the way down to the payment of goods and services.

Moreover, hierarchical factors are also taken into account so that managers have visibility over their associates' processes and operations. In order to be able to adapt to more complex category management procedures, the process management functionalities allow you to set up specific workflows with automatic notifications. You will be able to electronically handle purchase authorization management with a customized workflow per business unit, department or functional area, through a user-friendly web-based tool with personalized home page and access for every user.

Contract lifecycle management

FULLSTEP's Contract Management application enables the creation and registration of purchasing agreements between your company and its suppliers.

It facilitates both the creation of contractual documents, as well as the management workflow for its review and approval, including the participation of both internal company staff and external stake-holders, be they lawyers or consultants involved in the agreement, or the very suppliers object of the agreement or contract. You can configure specific workflow for every phase of the contacts' lifecycle: creation, modification and termination.

The application facilitates the creation of automatic alerts, warnings and searches that improve control and simplify the monitoring and planning, with an efficient archiving tool that eliminates the need to use paper.

Supply base Management

On top of all the sourcing and negotiation functionality, FULLSTEP provides a Supply Base Management solution, integrated with adjacent modules and areas, to handle suppliers' certification, governance, compliance and risk management. The company is able to establish a suppliers' quality panel, monitoring certification status and non-conformities, in order to continuously improve the quality of supplies and relationship with suppliers and reduce the cost of non-conformities and defective supplies.

In order for buyers to be able to make 'apple to apple' type of comparison as much as possible; FULLSTEP developed the concept of ATTRIBUTES. Every user can set up specific decision criteria for the RFx they are managing. The ATTRIBUTES will appear in the Suppliers' PORTAL as extra fields to fulfill before an offer can be sent. ATTRIBUTES can be text, numeric, attached files, yes/no type of answers, and can be applied to a whole RFQ, or only to some groups or items.
