For onboarding new employees, and contractors, has anyone put together a home grown automation workflow? If so, what did you use? We have HR, IT, security, facilities, new hire training, and more that each have a role to play in onboarding and are looking for a way to increase visibility and reduce the manual coordination that is happening to make an incredible new hire experience.   Who owns the process in your organization.  For context we are 450 employees, all located in Canada.

We have a dedicated tool develped for this purpose. We have a complex environment and the tool is able to follow the RBAC requirements, provide / rewoke access based on changes in HR records. However even we having a tool, we also performing periodic user access reviews to find any discrepancies in the environment. It is worth to mention that our size is almost 8 times bigger than your 450 employees.

Yes, many times at places with 100K employees. At 450 you want it to be fairly lightweight. Ideally it is based off identity management and integrates into whatever systems you are most commonly using and want set up. Equally important is automated offboarding. There are many technologies out there and what you choose will depend on your environment. eg: if you are in a Microsoft environment, and not onboarding dozens of people per day then Powershell can do pretty much anything you would need. Basically any scripting type language with appropriate access to hit up APIs will do the job.

So we dont have an automates process it is flow driven but currently manual, we do use Servicenow to track new starters but thats it
