Pool4Tool is our most important partner for the purchasing department. 90% of all requests will be taken over P4T.
Start with the easiest modules to implement, and modules with the best ROI.
As a web tool, we don't need any local installation. The system is worldwide 24h available over the internet.
Developing capacities have to increase. Schedule changes needs better communication between vendor and customer.
The increase of the project manager capacity.

Overall product is very powerful and the team sees the value that it provides now and for the future. Internally, launch was a struggle due to a lack of a dedicated project manager, insufficient time spent on process mapping, lack of understanding for system capabilities and unrealistic timing expectations. Externally, challenges included an inexperienced team and inadaquate information sharing.
Identify a dedicated project leader from the user group. Be sure to conduct a reference call/demo with an existing customer.
Powerful - highly configurable which provides flexibility, but can also create customized workflow if an off-the-shelf solution is not readily available. Great product breadth and depth. Overall, this product allows our team become more streamlined and agile with business processes, improved leadership visibility, controls and data management.
Lack of system documentation and reference materials.
The vendor should propose default workflow as a starting point for new customers and then jointly modify throughout the development process. To start with a "blank sheet of paper" approach takes signficantly more time for both parties and exposes the new, unproven workflows to potential problems. Workflow validation needs to be improved. Prefer to start with a best-in-class solution and then adjust.
Our team would have spent considerably more time in the development of workflow process mapping and formalization of these workflow expectations.
Have weekly meetings with launch team to review open issues.
P4T struggled in this area. Do not believe future launches will be as difficult, but improvements with workflow planning and product validation would be expected.
