I am reviewing our background check process specifically for retention and archiving process. We are in Ireland, US, Canada, Australia and India. Would anybody be willing to share your process/policy?

For India - it must follow purpose-limitation and your company’s internal retention policy. Most organisations keep only the screening outcome for 3–5 years and delete raw reports once the hiring decision is final.

I can only speak to the US. We use a vendor to administer and manage our program so the records remain in our vendor's system indefinitely. That said, the requirements are as follows:

1 year. No specific retention requirement
under the FCRA, but general EEOC
requirements to retain hiring and selection
records apply. Experts recommend
retaining related information for at least 5
years after the date of the consumer
report, which is the statute of limitations in
the Fair Credit Reporting Act (FCRA).
