How do I sign up for a Gartner one-on-one meeting?
Gartner one-on-one meetings are available exclusively to paid registered full conference attendees and are not available to exhibitors or exhibitor conference session pass holders. Because of the high demand for these appointments, each attendee may reserve two 30-minute one-on-one with a Gartner expert. Preregistration for one-on-ones and small-group sessions are available through Gartner Conference Navigator, our online agenda-building tool on the following dates:
Am I guaranteed the expert of my choice in my Gartner one-on-one meeting?
All registered attendees have the exclusive opportunity to speak directly with a Gartner expert in two private 30-minute one-on-one meetings. Because of the high demand for particular experts, sign up is on a first-come, first-served basis.
How do I sign up for roundtables, workshops and other sessions requiring preregistration?
Interactive sessions such as roundtables, workshops, and Meetups are available exclusively to paid registered conference attendees and are not available to exhibitors or exhibitor conference session pass holders. Because of the high demand and limited availability, we recommend you register in advance for these unique sessions. Is there a list of Gartner experts who will be available at the event?
Yes, we will have a Gartner expert guide with the list of our experts and the key areas with which they can assist clients. Please check back for the guide.
Are there any restrictions around Gartner one-on-one meetings?
Gartner one-on-one meetings are not available for vendor briefings or product demonstrations with experts. The expert reserves the right to stop the meeting if this situation occurs. Clients interested in briefing experts may contact the Vendor Relations department by emailing email@example.com to schedule a meeting following the conference.

Where is Gartner offering special hotel room rates?
As a conference attendee, you have exclusive access to special hotel room rates at the following hotels when you book through Gartner:

Availability at the special hotel room rate is limited, and we encourage you to make your reservation as soon as your travel plans are confirmed.
How do I make a hotel reservation?
First, you’ll need to register for the conference before you can book your hotel room. Hotel reservations can then be made by signing into your registration profile and selecting “Book Hotel.” If you require a guaranteed early check-in, you’ll need to book the night prior to your arrival and inform the hotel of your check-in date and time in the "Special Request" section on the "Complete your Booking" page.
Please note, reservations must be made individually and only by registered attendees. Provisional reservations are not permitted. If you’re attending as team and would like to stay together, please email the Gartner Conferences team for additional information.
Reservations at the special Gartner rate can’t be made directly with the hotel. Calls to the hotel will be redirected to the Gartner Conferences team.
Why do I only see certain hotels available?
The hotels and room type(s) you see are based on the dates selected and availability at the time of your booking.
Please note, the Sofitel Gold Coast Broadbeach is available exclusively to Executive Programs attendees. Access to exclusive Executive Programs hotels is subject to membership status at the time of the conference.
Will a minimum night stay be required?
A minimum night stay is not required for Gartner IT Symposium/Xpo™ affiliated hotels.
Are rooms available at a government rate for public sector attendees?
Gartner offers a limited number of rooms at the Crowne Plaza Surfers Paradise at $192 per night for qualified government officials and military travelers.
If the above rate is no longer available, you’ll be offered room options at higher rates. If you choose to book at the higher rate, the price can’t be adjusted, regardless of your public sector status. The rate listed in your confirmation email will be the rate you will be charged by the hotel.
How do I change or cancel my hotel reservation?
To make changes to your hotel reservation, simply sign into your registration profile and select “Edit Reservation” or email the Global Conferences team.
What is the hotel cancellation policy?
From the time of booking your hotel reservation, you have 3 business days to cancel without incurring a cancellation fee. Cancellations made outside of this window and prior to 17:00 AEST on 23 September 2019 will be charged a non-refundable cancellation fee equal to a one night stay.
After 17:00 AEST on 23 September 2019, cancellations or partial reductions of stay are non-refundable and a deposit equal to the cost of the full reservation will be charged by the hotel to the credit card provided at the time of booking. The rate provided at the time of booking and listed in your confirmation email will be the rate charged for your non-refundable deposit or cancellation fee.
Failure to check-in on your scheduled arrival date will result in the cancellation of your reservation and will be subject to the cancellation penalty. Please note, if you cancel your conference registration you will need to cancel your hotel reservation separately.
I received a phone call from someone saying they can offer me a room at a lower rate or at a different hotel. Is this a scam?
Gartner Conferences will always provide notice to attendees and exhibitors when using a third party provider, such as George P. Johnson (GPJ), as part of the conference administration. Please note, many of our exhibitors and delegates have been contacted by an organization called Exhibitors Housing Management claiming to be affiliated with Gartner. This is a scam and Gartner is in no way affiliated with EHS. If you have registered as an attendee or exhibitor for a Gartner conference and you receive an email from a third party provider claiming to be contacting you on behalf of Gartner Conferences, please contact the Gartner Conferences team to verify the third party provider prior to responding.

What should I do as a first-time attendee?
What is the Gartner Conference Navigator app and do I need to download it?
Gartner Conference Navigator is our mobile app (available on Android and iOs) that makes it easy for you to navigate and build your personal agenda. Download from your app store, sign in with your login details and you’ll be good to go. Don’t forget to opt in to receive push notifications while with us to keep informed of the latest conference updates.
Is my attendance limited if I am not currently a Gartner Research & Advisory client?
Absolutely not! As long as you have fully paid your registration fee, you have access to all conference activities open to you along with Gartner session documentation. If you’re interested in becoming a Gartner client, you can visit the Gartner Zone to better understand the benefits you’ll receive.
Are there limited-seating sessions that I need to sign up for?
Yes, you will need to sign up in advance for some sessions, such as workshops, Meetups and roundtables. If you try to register for a session and it is listed as“full” or “closed,” there is still a possibility you can attend. Once at the conference, find the room for that session and arrive there about 15 minutes before the session starts to have your name added to the waiting list. Spaces will be allocated on a first-come, first-served basis.
Bookings open for these sessions for alumni on 16 September and for the general public on 30 September.
What should I wear?
We suggest comfortable shoes — you’ll be doing a lot of walking from your hotel room to the conference space, from session to session and navigating IT Xpo. Business casual dress is what most attendees opt for, but we also recommend that you dress in layers as the conference rooms can get chilly.
Are there any executive leadership tracks/sessions available at the conference?
Yes, there is an exclusive CIO Experience program available at the conference. Attendance requires application; attendees can apply to the Gartner CIO Experience program as part of the registration process. All qualified registrants will be considered and will be granted confirmation based upon qualifications defined below and space availability.
