What methods can I use to pay?

You may pay with a Gartner IT Symposium/Xpo conference ticket, credit card or invoice with PO number. Payment must be made prior to the event or it will be collected upon entrance to the event.

What are the conference hours?

Gartner IT Symposium/Xpo 2019 will officially begin Sunday 3 November, at 7:45 a.m. and end at 3:00 p.m. on Thursday 7 November.

Are there any speaking opportunities at the conference?

Speaking opportunities are available for conference exhibitors. If you are interested in exhibiting, you will need to speak with a Gartner exhibitor sales representative. If you know who the representative is for your space, please reach out to them directly. If you are not aware of the representative for that space, call 1 800 356 4740 or email exhibit@gartner.com.

How do I sign up for a Gartner one-on-one?

One-on-Ones are available exclusively to paid registered full conference attendees and are not available to exhibitors or exhibitor conference session pass holders. Due to the high demand for these appointments, each attendee may reserve one 30-minute one-on-one with a Gartner expert. Preregistration for One-on-Ones and small sessions are available through Gartner Conference Navigator, our online agenda-building tool on the following dates:

  • 9 September, 2019: Accepted members of the Majestic Program & CMO Circle
  • 23 September 2019: Alumni and accepted members of the Elite Program
  • 7 October 2019: All registered attendees 

 

Am I guaranteed the expert of my choice in my one-on-one meeting?

All registered attendees have the exclusive opportunity to speak directly with one Gartner expert in a private 30-minute one-on-one meeting. Due to the high demand for particular experts, sign up is on a first-come, first-served basis.

 

Is there a list of Gartner experts who will be available at the event?

Yes, we will have a Gartner expert guide with the list of our experts and the key areas with which they can assist clients. Please check back for the guide.

 

Are there any restrictions around Gartner One-on-Ones?

One-on-Ones are not available for vendor briefings or product demonstrations with experts. The expert reserves the right to stop the meeting if this situation occurs. Clients interested in briefing analysts may contact the Vendor Relations department by emailing vendor.briefings@gartner.com to schedule a meeting following the event.

How do I register for the conference?

What if I’m having trouble logging into my gartner.com account?

Resetting your credentials can be done online. Please follow the links and instructions on the login page.

Where is Gartner offering special hotel room rates?

As a conference attendee, you have exclusive access to special hotel room rates with Gartner IT Symposium/Xpo™ affiliated hotels when you book through Gartner. Availability is first come, first served.

The deadline to reserve a hotel room at the special rate is 5:00 p.m. BST on 17 October 2019. Discounted rates aren’t guaranteed after this date.

Please note, hotel rates are subject to 10% VAT and an additional city tax charge of up to €2.48 per person per night will be added by the hotel.

How do I make a hotel reservation?

First, you’ll need to register for the conference before you can book your hotel room. Hotel reservations can then be made by signing into your registration profile and selecting “Book Hotel.” If you require a guaranteed early check-in, you’ll need to book the night prior to your arrival and inform the hotel of your check-in date and time in the "Special Request" section on the "Complete your Booking" page. Check out our Hotel Booking Guide for more information about how to book your room.

Please note, reservations must be made individually and only by registered attendees. Provisional reservations are not permitted. If you’re attending as team and would like to stay together, please email the Gartner Conferences team for additional information.

Reservations at the special Gartner rate can’t be made directly with the hotel. Calls to the hotel will be redirected to the Gartner Conferences team.

Why do I only see certain hotels available?

The hotels and room type(s) you see are based on the dates selected and availability at the time of your booking.

Please note, the AC Barcelona Forum by Marriott, Barcelona Princess, Hilton Diagonal Mar and SB Diagonal Zero are available exclusively to Executive Programs attendees and require a three night minimum stay. Access to exclusive Executive Programs hotels is subject to membership status at the time of the conference.

Will a minimum night stay be required?

A three night minimum stay is required at the AC Barcelona Forum by Marriott, Barcelona Princess, Hilton Diagonal Mar and SB Diagonal Zero. All other Gartner IT Symposium/Xpo™ affiliated hotels do not require a minimum stay.

How do I get to the conference if I am staying at one of the offsite hotels?

Complimentary shuttle service will be provided to and from the Gartner IT Symposium/Xpo™ affiliated hotels and the Barcelona International Convention Centre (CCIB). Shuttles will run approximately every 20 minutes throughout the conference hours and on the evening of the Special Event.

How do I change or cancel my hotel reservation?

If you need to change or cancel your hotel reservation prior to 5:00 p.m. BST on 17 October 2019, simply sign into your registration profile and select “Edit Reservation” or email the Gartner Conferences team. If you need to change or cancel your hotel reservation after this date, you’ll need to contact the hotel directly.

What is the hotel cancellation policy?

From the time of booking your hotel reservation, you have 3 business days to cancel without incurring a cancellation fee. Cancellations made outside of this window and prior to 5:00 p.m. BST on 17 October 2019 will be charged a non-refundable cancellation fee equal to a one night stay.

After 5:00 p.m. BST on 17 October 2019, cancellations or partial reductions of stay are nonrefundable and a deposit equal to the cost of the full reservation, including VAT and city tax, will be charged by the hotel to the credit card provided at the time of booking. The rate provided at the time of booking and listed in your confirmation email will be the rate charged for your non-refundable deposit or cancellation fee.

Failure to check-in on your scheduled arrival date will result in a cancellation of your reservation and will be subject to the cancellation penalty. Please note, if you cancel your conference registration you will need to cancel your hotel reservation separately.

I received a phone call from someone saying they can offer me a room at a lower rate or at a different hotel. Is this a scam?

Gartner Conferences will always provide notice to attendees and exhibitors when using a third party provider, such as George P. Johnson (GPJ), as part of the conference administration. Please note, many of our exhibitors and delegates have been contacted by an organization called Exhibitors Housing Management claiming to be affiliated with Gartner. This is a scam and Gartner is in no way affiliated with EHS. If you have registered as an attendee or exhibitor for a Gartner conference and you receive an email from a third party provider claiming to be contacting you on behalf of Gartner Conferences, please contact the Gartner Conferences team to verify the third party provider prior to responding.

When will I have access to documentation?

Registered attendees will be informed via email as event documentation becomes available on Gartner Conference Navigator and Gartner Conference mobile app. This email will include step-by-step instructions to access presentations and select audio-recorded sessions.

What should I do as a first-time attendee?

  • Before you arrive, build your agenda using Gartner Conference Navigator (on your desktop or via our mobile app).
  • Make sure your profile is complete in order to get the best from our profile match feature. Share information about your interests and priorities to discover the sessions that are the best-fit for you.
  • Be sure to register in advance for any roundtables, Gartner One-on-One Meetings or workshops you’d like to attend. We also have networking breakfasts and breaks running throughout the event to help you expand your network.
  • If you need a hand getting started, contact the Event Concierge Team for assistance. They can create an agenda based on your priorities, recommend exhibitors to connect with and even schedule your Gartner One-on-One Meeting.
  • Join us on the Exhibit Showcase during daily receptions so you can meet with the technology leaders in the space and find the solutions you need.

 

What is the Gartner Events app and do I need to download it?

Gartner Conference Navigator is our mobile app (available on Android and iOs) that makes it easy for you to navigate and build your personal agenda. Download from your app store, sign in with your log in details and you’ll be good to go. Don’t forget to opt-in to receive push notifications while with us to keep informed of the latest event updates.

 

Is my attendance limited if I am not currently a Gartner Research client?

Absolutely not! As long as you have fully paid your registration fee, you have access to all event activities open to you along with Gartner session documentation. Please note that workshops, Meetups and roundtables are strictly for end users only. If you’re interested in becoming a Gartner client, you can visit the Gartner Zone to better understand the benefits you’ll receive.

 

Are there limited seating sessions that I need to sign up for?

Yes, you will need to sign-up in advance for some sessions like workshops, Meetups and roundtables (end user only sessions). If you try to register for a session and it is listed as ‘full’ or ‘closed’, there is still a possibility you can attend. Once at the event, find the room for that session and arrive there about 15 minutes prior to the session start to have your name added to the waiting list. Spaces will be allocated on a first come, first served basis.

 

 

What Should I Wear?

We suggest comfortable shoes — you’ll be doing a lot of walking from your hotel room to the event space, from session to session and navigating the Exhibit Showcase. Business casual dress is what most attendees opt for, but we also recommend that you dress in layers as the conference rooms can get chilly.

Are there any executive leadership tracks/sessions available at the conference?

Yes, there will be an exclusive CIO Circle available at the conference. Attendance requires application, attendees can apply to the Gartner CIO Circle as part of the registration process. All qualified registrants will be considered and will be granted confirmation based upon qualifications defined below and space availability. The program has limited capacity to facility the interactive, collaborative content.

  • Applicant must have IT leadership responsibilities for a business unit or division
  • Applicant must not report into any higher IT executive
  • The applicant is not employed by an organization that provides products or services to marketing professionals
