Where is Gartner offering special hotel room rates?
As a conference attendee, you have exclusive access to special hotel room rates at the following hotels when you book through Gartner:
- Gaylord Texan Resort & Convention Center: $219
- Hyatt Regency DFW International Airport: $219
- Courtyard Dallas DFW Airport South/Irving: $199
- DoubleTree DFW Airport North: $179
- Hilton DFW Lakes: $199
- Dallas/Fort Worth Airport Marriott: $219
- Sheraton DFW Airport Hotel: $199
- The Westin Dallas Forth Worth Airport: $209
Please note that room rates are subject to applicable taxes and resort fees per night.
Availability at the special hotel room rate is limited, and we encourage you to make your reservation as soon as possible. The deadline to reserve a hotel room at the special rate is 5:00 p.m. EDT on February 27, 2020. Discounted rates aren’t guaranteed after this date.
How do I make a hotel reservation?
First, you’ll need to register for the conference before you can book your hotel room. Hotel reservations can then be made by signing into your registration profile and selecting “Book Hotel.” You can also contact the Gartner Conferences team for assistance.
Reservations must be made individually and only by registered attendees. Provisional reservations are not permitted. If you are attending as team and would like to stay together, please email the Gartner Conferences team for additional information.
Please note that reservations at the special Gartner rate can’t be made directly with the hotel. Calls to the hotel will be redirected to the Gartner Conferences team.
Will a minimum night stay be required?
A two night minimum stay is required.
Are rooms available at a government rate for public sector attendees?
Gartner offers a limited number of rooms at the GSA per diem rate for qualified United States government officials and military travelers. All reservations made at the government rate are subject to review, and a valid government or military ID will be required at check-in for the hotel to reconfirm your eligibility to receive the per diem rate.
Government room rates are quoted at the current GSA per diem rate and are subject to change if GSA rates are adjusted by the government.

If the public sector rate is no longer available, you’ll be offered a room at the commercial rate. If you choose to book at the commercial rate, the price can’t be adjusted, regardless of your public sector status. The rate listed in your confirmation email will be the rate you will be charged by the hotel.
How do I get to the conference if I am staying at one of the offsite hotels?
Complimentary shuttle service will be provided to and from the affiliated offsite hotels.
How do I change or cancel my hotel reservation?
If you need to change or cancel your hotel reservation prior to 5:00 p.m. EDT on February 27, 2020, simply sign into your registration profile and select “Edit Reservation” or email the Gartner Conferences team. If you need to change or cancel your hotel reservation after this date, you’ll need to contact the hotel directly.
What is the hotel cancellation policy?
Reservation cancellations made prior to 5:00 p.m. EDT on February 27, 2020 will not incur cancellation fees. After 5:00 p.m. EDT on February 27, 2020, the hotel will charge a non-refundable deposit of the two night minimum stay, including applicable taxes and resort fees, to the credit card provided at the time of booking. The rate provided at the time of booking and listed in your confirmation email will be the rate charged by the hotel for your non-refundable deposit. Government rate rooms will not be charged until check-in and are subject to the same cancellation policies outlined above.
Failure to check-in on your scheduled arrival date will result in the cancellation of your entire reservation and will be subject to the cancellation penalty.
Please note, if you cancel your conference registration you will need to cancel your hotel reservation separately.
I received a phone call from someone saying they can offer me a room at a lower rate or at a different hotel. Is this a scam?
Gartner Conferences will always provide notice to attendees and exhibitors when using a third party provider, such as George P. Johnson (GPJ), as part of the conference administration. Please note, many of our exhibitors and delegates have been contacted by an organization called Exhibitors Housing Management claiming to be affiliated with Gartner. This is a scam and Gartner is in no way affiliated with EHS. If you have registered as an attendee or exhibitor for a Gartner conference and you receive an email from a third party provider claiming to be contacting you on behalf of Gartner Conferences, please contact the Gartner Conferences team to verify the third party provider prior to responding.
