How do I register for the conference?

What methods can I use to pay?

You may pay with a Gartner IT Symposium/Xpo™ ticket, credit card or invoice with PO number. Payment must be made prior to the conference or it will be collected upon entrance to the conference.

 

What is the cost to attend?
 
Standard registration: $6,425

Public-sector registration: $4,775

Gartner clients may contact their account managers for special pricing options or may use a Gartner IT Symposium/Xpo ticket as a form of payment. 

 

Is there a bulk discount for large groups?

What is included in the full registration price?

What are the conference hours?

Gartner IT Symposium/Xpo 2020 officially begins on Sunday, October 18, at 7:45 a.m., and ends at 3:00 p.m. on Thursday, October 22.  

 

When can I pick up my badge at the registration counter?

Registration will be open the following dates and times:

Sunday, October 18, 2020: 6:45 a.m. – 6:00 p.m.

Monday, October 19, 2020: 6:45 a.m. – 5:00 p.m.

Tuesday, October 20, 2020: 6:45 a.m. – 5:00 p.m.

Wednesday, October 21, 2020: 6:45 a.m. – 5:00 p.m.

Thursday, October 22, 2020: 6:45 a.m. – 12:00 p.m.

Are there any speaking opportunities at the conference?

Speaking opportunities are available for conference exhibitors. If you are interested in exhibiting, you will need to speak with a Gartner exhibitor sales representative. If you know who the representative is for your space, please reach out to them directly. If you are not aware of the representative for that space, call 1 800 356 4740 or email exhibit@gartner.com.

 

What if I am interested in exhibiting at the conference?

How do I sign up for a Gartner one-on-one meeting?

Gartner one-on-one meetings are available exclusively to paid registered full conference attendees and are not available to exhibitors or exhibitor conference session pass holders. Because of the high demand for these appointments, each attendee may reserve two 30-minute one-on-one meetings with a Gartner expert. Preregistration for one-on-ones and small-group sessions are available through Gartner Conference Navigator, our online agenda-building tool.

 

Am I guaranteed the expert of my choice in my one-on-one meetings?

All registered attendees have the exclusive opportunity to speak directly with a Gartner expert in the private 30-minute one-on-one meetings. Because of the high demand for particular experts, sign-up is on a first-come, first-served basis.

 

How do I sign up for roundtables, workshops and other sessions requiring preregistration?

Interactive sessions such as roundtables, workshops and Meetups are available exclusively to paid registered conference attendees and are not available to exhibitors or exhibitor conference session pass holders. Because of the high demand and limited availability, we recommend you register in advance for these unique sessions. Preregistration is available through Gartner Conference Navigator, our online agenda-building tool.

 

Is there a list of Gartner experts who will be available at the conference?

Yes, we will have a Gartner expert guide with the list of our experts and the key areas with which they can assist clients. Please check back for the guide.

 

Are there any restrictions around Gartner one-on-one meetings?

Gartner one-on-one meetings are not available for vendor briefings or product demonstrations with experts. The expert reserves the right to stop the meeting if this situation occurs. Clients interested in briefing experts may contact the Vendor Relations department by emailing vendor.briefings@gartner.com to schedule a meeting following the conference.

How do I register for the conference?

Please visit Gartner NA IT Symposium/Xpo registration page to register for the conference. If you are an Executive Programs member, please contact your service delivery associate to register.

What if I’m having trouble logging into my gartner.com account?

Resetting your credentials can be done online. Please follow the links and instructions on the login page.

How do I make a hotel reservation?

First, you’ll need to register for the conference before you can book your hotel room. Hotel reservations can then be made by signing into your registration profile and selecting “Book Hotel.” You can also contact the Gartner Conferences team for assistance.

Reservations must be made individually and only by registered attendees. Provisional reservations are not permitted. If you are attending as team and would like to stay together, please email the Gartner Conferences team for additional information.

Please note that reservations at the special Gartner rate can’t be made directly with the hotel. Calls to the hotel will be redirected to the Gartner Conferences team.

Why do I only see certain hotels available?

The hotels you see are based on the dates selected and availability at the time of your booking. Please note that the Walt Disney World Swan and Dolphin Resort, Disney's Yacht and Beach Club Resorts and Disney's BoardWalk Inn are available exclusively to Executive Programs Primary Members, Team Leaders and Bring Your Boss participants. Access to exclusive Executive Programs hotel rooms is subject to your membership status at the time of the conference.

Will a minimum night stay be required?

Reservations made at the Walt Disney World Swan and Dolphin Resort require a 4-night minimum stay. All other Gartner IT Symposium/Xpo hotels require a 3 night minimum stay.

Are rooms available at a government rate for public sector attendees?

Gartner is able to offer a limited number of rooms at the GSA per diem rate in effect during the conference dates. Government rate rooms are subject to availability and offered on a first-come, first-served basis for qualified United States government officials and military travelers. If the public sector rate is no longer available, you will be offered a room at the commercial rate. If you choose to book at the commercial rate the price cannot be adjusted regardless of your public sector status. The rate listed in your confirmation email will be the rate you will be charged by the hotel.

All reservations made at the government rate are subject to review, and a valid government or military ID will be required at check-in for the hotel to reconfirm your eligibility to receive the per diem rate.

Government room rates are quoted at the current GSA per diem rate and are subject to change if GSA rates are adjusted by the government. Government rate rooms will not be charged until check-in and are subject to the same cancellation policies outlined in the Hotel Cancellation Policy.

Public sector rooms at the Swan, Dolphin, Yacht & Beach and Boardwalk hotels are available exclusively to Executive Programs Primary Members, Team Leaders and Bring Your Boss participants.

Additional rooms at the GSA per diem rate are being offered at the “Shades of Green on Walt Disney World Resort”.

These rooms are available to Military members only. A valid Military ID, current Department of Defense ID or a Leave and Earnings Statement will be required at check in.

Do I qualify for the government rate?

Government rate qualifications are subject to each hotel’s individual polices. With the exception of the Marriott Villages hotels, all of the Gartner IT Symposium/Xpo 2020 hotels require attendees requesting the government rate to meet one of the following criteria:

United States Military

Employee within federal, state or local United States government

Employed in higher education and K-12 organizations funded by the United States government (public school systems)

The above does not include contractors working with or for the public sector, private education organizations or non-profit organizations (.orgs).

Please note, the Marriott Villages (Courtyard, SpringHill and Fairfield Inn) will honor the government rate to members of the public sector from both inside and outside the United States. All reservations made at the government rate are subject to review and will require you to present official identification of public sector status at the time of check in.

Is airport transportation provided?

No. Attendees are responsible for making their own ground transportation arrangements to and from the airport. If you are staying at one of the Gartner IT Symposium/Xpo hotels, we are pleased to offer discounted rates on arrangements made with Mears Transportation. How do I get to the conference if I am at one of the offsite properties?

We offer complimentary shuttle transportation to and from the Gartner IT Symposium/Xpo hotels. Shuttles run every 10-20 minutes throughout the conference hours. On the evening of the Special Event, shuttles will return to the hotels on each of the bus routes as well as the ESPN Wide World of Sports Touchdown parking lot.

How do I change or cancel my hotel reservation?

If you need to change or cancel your hotel reservation prior to 5 p.m. ET on Monday, September 14, 2020, sign into your registration profile and select Edit Reservation. If you need to change or cancel your hotel reservation after this date, you’ll need to contact the hotel directly.

What is the hotel cancellation policy?

From the time of booking, you have 3 business days to cancel your reservation without incurring a cancellation fee. Cancellations made outside of this window and prior to 5:00 p.m. ET on Monday, September 14, 2020 will be charged a non-refundable cancellation fee equal to a one-night stay. After 5:00 p.m. ET on Monday, September 14, 2020, the hotel will charge a non-refundable deposit of the full minimum night stay. The rate provided at the time of booking and listed in your confirmation email will be the rate charged to the credit card provided at the time of booking for your non-refundable deposit or cancellation fee, including applicable taxes and fees. Government rate rooms will not be charged until check-in and are subject to the same cancellation policies outlined above.

Failure to check-in on your scheduled arrival date will result in the cancellation of your entire reservation and will be subject to the cancellation penalty. If you cancel your conference registration, you will need to cancel your hotel reservation separately.

What if I am driving in for the conference or if I want to stay at a hotel that is not listed as an official Gartner IT Symposium/Xpo hotel?

You are welcome to park at the ESPN Wide World of Sports Touchdown parking lot where we offer complimentary shuttle service to and from the Walt Disney World Dolphin Resort. Shuttles will run every 10-20 minutes throughout the conference hours, including on the evening of the Special Event. Please note, onsite parking is not available.

I received a phone call from someone saying they can offer me a room at a lower rate or at a different hotel. Is this a scam?

Gartner Conferences will always provide notice to attendees and exhibitors when using a third-party provider, such as George P. Johnson (GPJ), as part of the conference administration. If you receive a phone call or an email from a third-party provider claiming to be contacting you on behalf of Gartner Conferences, please contact the Gartner Conferences team to verify the third-party provider prior to responding. When will I have access to documentation?

Registered attendees will be informed via email as conference documentation becomes available on Gartner Conference Navigator. This email will include step-by-step instructions to access presentations and select audio-recorded sessions.

Are there any executive leadership tracks/sessions available at the conference?

Yes, there is an exclusive CIO Experience available at the conference. Attendance requires application. Attendees can apply to the Gartner CIO Experience as part of the registration process. All qualified registrants will be considered and will be granted confirmation on the basis of the qualifications defined below and space availability. 

Applicants must meet the following qualification criteria to attend:

  • Enterprisewide CIO* or,
  • Business unit or regional CIO* responsible for:
    – Private sector: $250+ million in revenue
    – Public sector: 1,000 employees or $250+ million IT budget
     

*Qualifying CIOs from a technology vendor or consultancy must be involved exclusively in their organization’s internal IT/IS operation.

Am I able to purchase a copy of the attendee list?

No, Gartner does not post or sell attendee lists. For more details please review the registration Terms & Conditions.

Please be advised that in the conference industry we often come across fraudulent service providers who claim to be able to offer attendee lists or discounted passes. Gartner has not authorized anyone to contact you on our behalf and we encourage you to avoid these attempts by not engaging with suspicious emails or calls as they are phishing scams.
